The Publication Workflow

On DaRUS, the data repository of the University of Stuttgart, you can store research data of various types in a structured way and also publish them in a citable form. Each publication is assigned a unique identifier in the form of a DOI, is available worldwide and is also found in common search indexes. 

In order to ensure the quality of the published data, all data records to be published undergo a three-stage process. First, the author or depositary of the data set should check both the usability of the data and the completeness and usefulness of the metadata and obtain the consent of all other actors involved for publication. A click on "Submit for Review" submits the corresponding dataset.

In a further step, the data set should be checked by a content curator before it is checked for formal consistency and completeness within the library and finally released. The following checklists provide assistance for authors and curators. 

Checklist for Authors

Legal issues:

  • Copyright:
    • Are all contributors listed as authors or contributors?
    • Do all contributors agree to publication?
    • Are parts of the data protected by copyright (e.g. images, texts, databases) of third parties? 
      • If so, is there a permission/license for use or publication?
  • Privacy:
    • Is the data personally identifiable? If yes, :
      • Can the data be made anonymous?
        • If yes, make anonymous.
        • If not, is there a declaration of consent for the publication of the data of the data subjects?
  • Is the data subject to a confidentiality agreement?
  • Is there currently a patent application in progress that relates to the data/results?
  • Does the granted license permit the desired use of the data?

Metadata:

  • Is a long-term e-mail address registered as contact?
  • Is an identifier (ORCID) stored with the author?
  • Is the metadata sufficient to understand and use the data set?
  • Is there any information available on funding, especially in the case of public financing?

Checklist for Curators

Legal issues:

  • Is the data subject to a confidentiality agreement?
  • Is there currently a patent application in progress that relates to the data/results?
  • Does the granted license permit the desired use of the data?

Metadata:

  • Is a long-term reachable e-mail address registered as contact?
  • Is the metadata sufficient to understand and use the dataset?
  • Do the subject-specific metadata contain meaningful and consistent values:
    • Measured Variables
    • Controlled Variables
    • Force Field Variables
    • System Parameters
    • System or Phase Components
    • Spacial Resultion
    • Temporal Resolution
    • Flows
    • Boundary Parameters

Files

  • Is the data stored in an open and/or common community file format?
  • Is the data readable/executable?
  • Is it comprehensible what the data can be used for?
